Diagnostic Patient Coordinator - Circle Imaging

Monday - Friday

6:30-3pm

Position Highlights:

Ability to competently perform the functions of Radiology Scheduling, Image Library, and Radiology ACD / telephone requirements with a high degree of autonomy and independence. Manages exam appointment times within the radiology information system to meet the needs of the referring services and departmental resources and to meet the departmental standards for turnaround time. Perform duties necessary to support the access and distribution of radiology images and reports as per departmental and institutional policy and HIPAA guidelines. Utilizes PACS, HIS and RIS technologies to process such requests. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures including complying with all Rush University Medical Center Customer Service Standards.

Principal Duties and Responsibilities:

Reception/GreeterMeets and greets patients, family members and vendors doing business with the department.

  • Communicates outpatient arrivals and waiting issues to technical sections.

  • Documents the arrival time of the outpatients in the Radiology Information System.

  • Performs check-in process for outpatients, including assistance with orders, wristbands and labels.

  • Confirms demographic information for outpatients.

  • Creates, edits and scans patient registration documents.

  • Obtains e-signature for HIPAA and Financial Responsibility Agreement.- Edits patient visit number for billing accuracy.

  • Assumes ownership of patients and family members in the waiting areas, ensuring they are communicated to and are aware of status of procedures and delays.

  • Assists with escorting patients to the technical areas for their appointments.Image Processing

  • Receive and process requests for radiology images or reports. Obtain and file required HIPAA Privacy Patient Rights Request Form and Authorization for the release of PHI forms.

  • Processes importing of external images into the institutions PACS archive as per workflow and policy.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • 25wpm typing test with 90% accuracy.

  • Strong interpersonal and communication skills.

  • Ability to perform multiple tasks at one time, good organizational skills.

  • Ability to participate in the training of new staff

  • Working knowledge of department and Medical Center preferred but not necessary.

Scheduling

Schedule Radiology procedures in a manner that minimizes turnaround time (order placement – exam complete) and maximizes resource utilization. Initiate consultation where necessary.

  • Negotiate scheduling of STAT procedures.

  • Acquire transport/dispatch information.

  • Enter dispatch info into transport system for all inpatient studies.

  • Coordinate the scheduling of multiple exams across sections within Radiology in a manner that minimizes the number of trips to the department for the patient.

  • Participates in the training of new hires or the cross-training of staff to new and/or revised procedures.

  • Applies departmental and Medical Center procedures and guidelines for scheduling and phone etiquette.

  • Responsible for scheduling procedures according to available departmental resources.- Reviews radiology orders for completeness of information.

  • Documents patient insurance info for pre-registration clearance. Initiates warm transfers to Patient Access-Admitting when appropriate.

  • Assists with appointment confirmation calls.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED - Scheduling background required. Excellent communication and people skills. Proven customer service skills. Decision-making skills required- Good organization and follow-up skills. Able to work independently. Computer skills required and a minimum of three years experience in a healthcare scheduling setting. Ability to perform multiple tasks at one time.
